How Billings Works
at Anderson Counseling Associates

Please read - we want to make sure billing is as clear and stress-free as possible.

Thank you for choosing Anderson Counseling Associates for your care. As a small, locally owned practice, we want to be upfront and transparent about how billing works so there are no surprises along the way. Please take a few minutes to review the information below.


1. Insurance Billing - WE WORK WITH MOST MAJOR INSURANCE PLANS

When you have insurance on file, we submit claims directly to your insurance company on your behalf after each visit. Once your insurance processes the claim, they'll determine what (if anything) is your responsibility based on your specific plan. This may include copays, coinsurance, or amounts applied to your deductible.

 

Please note that state insurance plans — including Centene, Wellpoint, and Molina Healthcare — may take longer to process claims than commercial plans.


2. Understanding Your Statement

Your statement balance may sometimes reflect charges that have not yet been processed by your insurance company. In some cases, insurance payments or adjustments are still pending, which may temporarily show an inaccurate balance.

 

We encourage you to monitor your statements over the next one to two billing cycles, as balances often update once insurance processing is complete. If you receive a statement showing a balance and you believe insurance should be covering it, please give us a chance to work through insurance processing before paying out of pocket.


3. Copays and Patient Responsibility

Copays and any patient-responsibility amounts (such as coinsurance or deductible balances) are due at the time of service or shortly after, once insurance has processed the claim. We ask that all outstanding copays be paid in a timely manner so we can continue providing high-quality care.

 

You can log in to your patient portal at any time to:

  • Review your current balance

  • Make a secure payment

  • Update your card on file


4. Cards on File

Having a card on file helps us create a smoother, more seamless billing experience for everyone. Rest assured, we only charge your card after your claim has been processed through insurance and your patient responsibility has been determined, never before.

 

To keep things predictable, we charge client cards on a biweekly basis. This rhythm helps prevent surprises both for you, and for our clinicians who rely on consistent, timely payments.

 

If your card is expiring, no longer active, or running low (such as an HSA card with a low balance), please update it promptly through your patient portal or by contacting our office so there are no interruptions in billing.


5. Past Due Balances

We understand that life happens, and finances can sometimes be unpredictable. If you're ever experiencing financial hardship, please reach out — we would much rather work with you on a manageable payment plan than see a balance go unresolved.

 

However, when balances remain unpaid, it directly affects our ability to pay our clinicians and support staff. As a small business, we depend on our clients to pay for the care they've received from our dedicated clinicians so we can keep our doors open and continue serving our community for years to come.

 

Please note: If a balance becomes significantly past due and we are unable to reach a resolution, services may be temporarily discontinued until the account is brought current or a payment plan is in place.
